1. Our Commitment
We understand that life can be unpredictable and sometimes plans need to change.
At Somatic Dance International, we are committed to supporting our students wherever reasonably possible and creating meaningful, well-held training experiences.
Our trainings involve considerable preparation, including venue reservations, facilitator commitments, catering arrangements and limited participant numbers.
To honour both the commitment you make to your training and the preparations involved in bringing these immersions to life, we have established the following cancellation and refund arrangements.
2. Participant Cancellations & Refunds
If you need to cancel your place, the following arrangements apply to your training fees:
42 days or more before the training begins: A refund of all training fees paid, less a $600 NZD cancellation and administration fee. The amount retained will not exceed the amount paid.
21–41 days before the training begins: A 50% refund of training fees paid, with no additional administration fee deducted.
Less than 21 days before the training begins: Training fees are generally non-refundable, reflecting the commitments already made and the limited opportunity to offer your place to another student.
These timeframes are calculated in calendar days before the scheduled training start date.
All refunds are subject to applicable consumer protection laws.
3. Deposits & Transfers
Your deposit reserves your place and allows us to begin preparing for your participation.
Deposits form part of your total training fee and are subject to the cancellation arrangements outlined above. The deposit is not an additional cancellation charge.
Where an application is not accepted by Somatic Dance International, we will refund all payments received in full, including any applicable payment processing fees.
We understand that circumstances change. Where possible, we are happy to consider transferring your booking or eligible credit towards a future Somatic Dance International training.
Transfers are subject to availability, any applicable price differences and written agreement with our administration team.
4. Accommodation & Meals
Accommodation and meal arrangements vary depending on the location and nature of each training.
Some trainings include accommodation and meals within the overall package, while others offer separate accommodation options.
The inclusions and any specific accommodation cancellation conditions will be outlined on the relevant training information page before booking.
Where accommodation is arranged through Somatic Dance International, any applicable cancellation charges will reflect the agreed booking arrangements, costs and commitments associated with that particular training.
Accommodation-specific conditions will be communicated before enrolment and remain subject to applicable consumer protection laws.
5. If Somatic Dance International Needs to Cancel or Reschedule a Training
We are deeply committed to delivering our trainings as scheduled and honouring the commitment our students make when enrolling.
In exceptional circumstances, such as natural disasters, government restrictions, serious illness or other significant unforeseen events, it may become necessary to cancel, postpone or reschedule a training.
Should this occur, we will communicate with participants as soon as reasonably possible and work towards a fair and practical resolution.
Depending on the circumstances, this may include:
Offering a place in a rescheduled training.
Offering the opportunity to transfer to another suitable training.
Providing a refund of training fees where required by applicable law or the terms of your booking.
Any transfer or credit arrangement will be discussed with participants and will not replace a refund or other remedy where one is legally required.
Travel Arrangements
Participants are responsible for arranging their own travel, including flights, visas, travel insurance and independently booked accommodation.
We strongly recommend comprehensive travel insurance to provide protection against unforeseen circumstances and travel disruptions.
Somatic Dance International does not ordinarily reimburse independently arranged travel expenses following a cancellation or rescheduling, except where required by applicable law.
6. Early Departure or Withdrawal
If you choose to leave a training after it has commenced, whether for personal reasons, a change in circumstances or a decision not to continue, training fees are generally non-refundable.
We understand that immersive experiences can be personally challenging, and we encourage participants to communicate with our facilitation team if difficulties arise.
Concerns relating to the delivery, quality or safety of a training will be considered individually in accordance with our responsibilities and applicable consumer protection laws.
7. How to Request a Cancellation or Refund
If you need to cancel your place or request a refund, please contact us in writing as soon as possible.
Your cancellation date will be determined by the date we receive your written request.
Refund Requests During a Training
As our teaching team is fully engaged in facilitating the training, refund requests must be submitted in writing and will be reviewed through our administration process.
We ask for your understanding that financial matters may not be able to be resolved immediately during an immersion. Urgent concerns involving safety or wellbeing will be addressed promptly.
Refund Processing
Where a refund is approved, we aim to process it within 14 working days of confirming the amount and receiving any necessary payment details, subject to any shorter timeframe required by law.
Please allow additional time for funds to appear in your account, depending on your bank or payment provider.

8. Your Consumer Rights
Nothing in this policy excludes, restricts or limits any rights or remedies that cannot lawfully be excluded under applicable consumer protection legislation.
